What can you do with Inbox?

Use Inbox by Gmail to turn your email program into a task management system. Use tools like bundles, pinning, sweep, and snooze to reduce clutter and distractions, keeping you up to date on important matters. Inbox helps you get organized and get more done.

Create and reply to email

Let’s start with writing, sending, and viewing email.

In this section, you’ll learn how to:

Compose email

  1. Choose a method to create your email:

    • In the bottom right, click Compose .
    • Above Compose , click a frequent contact icon to email that person.

    A new message opens near the bottom right of your inbox.

  2. Just start typing to compose your email. Email you’ve started writing, but haven’t sent, are automatically saved in Drafts on the main menu.

Add recipients, attachments, and more

Include different types of recipients, add attachments, emphasize key points with font styles, and more—all in the Compose window.

See new email

  1. Unread email are bold. To open a new (unread) email, simply click it.
  2. Replies to email are grouped into threads. Keeping all the messages in a thread makes it easier to keep track of them and reduces inbox clutter.
  3. When there’s more than 3 messages in a thread, it’s collapsed. To see all messages, click the circled number.
  4. At a glance, see the people on the thread and how many messages are in the thread.
  5. See highlights (images, meeting invitation details, and more) without even opening the thread.

Reply to email

  1. Open the email you want to reply to and do one of these tasks:
    • In the top-right corner, click Reply and click Reply.
    • To reply to the last email in the thread, just below the last email, click Reply.
  2. When you’re finished with your reply, click SEND.

Undo sending email

If you make a typo or change your mind about sending a message, you can take back a message you just sent by clicking Undo. After you send your message, Undo appears in the bottom left for about 8 seconds.

Work with reminders and snooze

Stay on top of your tasks with reminders and to-do lists directly in your inbox.

In this section, you’ll learn how to:

Create reminders

Note: Reminders you create in Google Calendar or Google Keep also show up in Inbox.

  1. Create a reminder:
    1. In the bottom-right corner, hover over Create and select Reminder.
    2. Type your reminder.
    3. Click SAVE.
  2. Add a reminder to an email you need to follow up on:
    1. Open the email.
    2. Click Pin .
    3. At the top of the email, click Remember to and type your reminder.
    4. Click SAVE.
    5. (Optional) Set the reminder to appear later by clicking Snooze on the email and selecting a time.
  3. Create a repeating reminder, such as a reminder for a weekly meeting, combine a reminder and snooze:
    1. Hover over Create and select Reminder .
    2. Type a task or event you do regularly.
    3. Click SAVE.
    4. In the menu, click Reminders.
    5. Hover over the reminder and click Snooze .
    6. Click Pick date & time.
    7. Choose the first day for your reminder, and then choose a time.
    8. Choose one of the repeating options (Daily, Weekly, and so on).
    9. Click SAVE.

    Now, if you click Reminders in the menu, Repeat reminders Inbox repeat reminder appears next to the reminder.

Snooze email and reminders

Snooze email and reminders to get them out of your inbox until you're ready to address them, whether that's tomorrow, next week, or a specific date.

  1. Hover over an email.
  2. Select Snooze .
  3. Under Snooze until, choose a time. The reminder or email automatically snoozes.

In the menu under Snoozed, you can see everything that you've snoozed. You can also open repeating reminders to make changes that will affect all future reminders in the series.

Organize your email

Keep your inbox organized and clutter-free by grouping related email into bundles and pinning important email.

In this section, you’ll learn how to:

Pin important email

Pin email you still need to read or follow up on. When you’re ready to work on your pinned email, go to the pin-only view. If you’re deleting multiple email with a sweep, pin email that you don’t want to remove.

  1. Hover over an email you want to pin.
  2. Click Pin .

Pinned messages show up individually in your inbox. To see only pinned email, at the top of your inbox, click Pin switch Inbox pin switch.

Group email with bundles

Bundles are related messages, such as for a particular project or client, that are grouped together in your inbox. At a glance, you can see how many messages are in the bundle, and who the senders are.

Use predefined bundles, or create custom bundles. If you used labels and filters in Gmail, they're carried over to Inbox and can become bundles, too.

Create a custom bundle:

  1. In the menu, scroll down and click Create new.
  2. Enter a name for the bundle and click SAVE.
  3. Click ADD to automatically add messages to the bundle.
  4. Choose the type of filter and enter email addresses. For example, if you choose From and type the email cassy@solarmora.com, all email from Cassy go into this new bundle.
  5. Click SAVE.

Move email into bundles

If an email appears in the wrong bundle, it’s easy to move it from one bundle to another.

Move an email into a different bundle:

  1. Open the bundle that contains the email you want to move.
  2. Hover over the email and click Move .
  3. Under Move to, choose the bundle you want to move the email to.

To undo the move, click Undo in the bottom left. Or, to always send messages from this sender to this bundle, click Always do this. You have about 8 seconds to choose either option.

Change bundle settings

Choose how certain bundles appear, or change settings for all your bundles at once. For example, if you don't check certain bundles regularly, set those bundles to show only once a week. Or, if you don't want your email grouped together, turn off bundling so messages show up individually instead.

Change settings for a bundle:

  1. In the menu, hover over a bundle (in Bundled in the inbox) and click Settings .
  2. Change how often the bundle appears, or turn bundling off.
  3. Click CLOSE.

Change settings for multiple bundles:

  1. In the menu, scroll down and click Settings .
  2. Next to each bundle, click On or Off.
  3. (Optional) Hover over a bundle and click Settings to change how often a bundle appears.
  4. Click DONE.

Clear completed email

Once you’re done with an email or reminder, there are several ways to move it out of your inbox.

In this section, you’ll learn how to:

Mark a reminder or email as Done

Marking a reminder or email as Done moves it out of your inbox, but doesn’t delete it in case you’ll need it again later.

Mark an email or reminder as Done:

  1. Go to an email or reminder that you no longer need.
  2. Hover over the email or reminder and click Done .

Note: On mobile devices, swipe left to right to quickly mark items as Done. You can also swipe a whole bundle away the same way.

To find Done email or reminders later, do one of these options:

  • At the top of the page, search for your email.
  • In the menu, click Done to browse your archive.

Clear several email at once

Sweep keeps your inbox clean by clearing out all your unpinned email—or just unpinned email from bundles or time periods—at once. This is a quick way to archive older messages or clean up bundles by filing away less important email. If you need them later, find them again with search.

Sweep email in a bundle or time period:

  1. In the menu, click Inbox.
  2. Do one of the following:

    • To sweep email in a bundle, click the bundle to open it.
    • To sweep email for a time period, go to the time period (such as Today, This month, and so on).
  3. (Optional) Pin any email you don’t want to sweep:

    • To pin an individual email or thread, hover over the email or thread and click Pin .

    • To pin multiple email at once, hover over the sender image on the left of each email, then click the box that appears. Use Shift to select multiple email in a row. Then, click Pin .

  4. Do one of the following:

    • To sweep email for a time period, in the top right, click Sweep .
    • To sweep email in a bundle, in the top right, click Done .

Swept email are archived. You can find them in Done on the main menu.

Undo a sweep: In the bottom left, click Undo. Once you’ve clicked Sweep , you have about 8 seconds to undo it.

Delete email

Instead of archiving, you can send an email thread directly to the trash.

Delete an email thread: Hover over the thread in your inbox and click Trash .

Deleted email are kept on the menu in Trash for 30 days, then they’re permanently deleted. Remember, email in Trash isn't searchable.
